The agents thriving in this market aren’t the ones spending the most on cold leads. They’re the ones who’ve built a system around the people who already know, like, and trust them. When you work mostly with those people, the hard conversations about commission and concessions rarely come up, because they already understand your value.

It comes down to one formula: to win with your database, you have to add people to it, provide value to the people in it, and do both consistently. Miss any one of those and the whole thing stalls.

Adding people: hybrid farming. Hybrid farming is how you bring new people into your world, and it’s a blend of two old tactics that fix what’s wrong with each. Traditional farming means mailing a neighborhood every month for years, effective but slow and expensive. Circle prospecting is cheap but one-and-done, so it rarely sinks in. The marketing rule of seven says people need to encounter you around seven times before your name registers, which is exactly why a single touch falls flat. Hybrid farming takes the best of both by working in one neighborhood every month through a mix of touches.

The first move is picking the right neighborhood. Look for at least 5% annual turnover, which means roughly 5 sales for every 100 homes. Watch out for the national average, so you may have to hunt for the right one, but the math matters: a neighborhood turning over twice as fast returns twice as much on the same effort. Even a market with an established agent can be worth entering, as long as no single agent dominates nearly every sale.

From there, the work is showing up in different ways all month. You don’t have to do everything, but the more touches the better: a neighborhood Facebook group that looks like the community built it, sponsored local events, community give-back moments, entertaining postcards that earn a spot on the fridge instead of the trash, just listed and just sold cards, open houses run as events, food trucks, quarterly calls, a community yard sale, and sponsoring the neighborhood newsletter. One agent who followed this plan took 48% of a neighborhood’s transactions within 18 months of starting.

Providing value: the database plan. Adding people only pays off if you consistently give them a reason to remember you. The rhythm we use is simple to picture across a year: call your database four times, mail them four times, host at least two client events, and email them twelve times. Pick from those options month to month rather than doing all of them at once, since every agent’s database responds differently.

What you send matters as much as how often. Lead with infotainment over sales pitches, the best local spots to watch fireworks, a neighborhood food truck schedule, and a national cookie day card, so you’re seen as the local expert rather than another agent begging for business.

The goal is to stand out. Nearly everyone relies on the same handful of CRMs and sends the same automated emails, so the agents who win are the ones whose touches look and feel different. Reserve deeper appreciation, like VIP gift boxes, for your top clients and referral sources, and match what you send to those who are actually in your database.

Put it together, and the results compound. Our own database business grew from under 100 transactions a year to roughly 450, while advertising spend, which had nearly bankrupted the company, dropped sharply, and profits climbed. That’s the payoff of doing all three parts consistently, which is the piece most agents struggle with on their own.
